Island Grown Sod - Covid 19 Policies
We are committed to keeping our customers and our employees safe during this difficult time. We have implemented many new policies to help prevent the spread of Covid 19. In order for us to do our jobs both our employees and our customers must feel safe and comfortable in their environment. Though our daily routines will be different we still hope to continue to supply the public with the same great service and products. Below is a list of the measures we are taking to ensure everyone's safety.
Landscape/Maintenance Company – General
● “Out of Province” – Mandatory Self Isolation for 14 days.
● Phone in policy on “Sick Day” – Full communication of symptoms and return date.
● Social Distancing (2 m – 6 feet).
● Hand Washing/Sanitizing Mandatory.
● Create a platform to communicate any updates on the virus immediately to staff.
● Explain your expectations of “outside of work” behavior to your employees.
● All crew members in a truck need to be comfortable that other members are following similar “outside of work” behaviors.
Landscape/Maintenance Company - Practices
●Suggest that if you have more than one crew, that different start times are implemented.
●Encourage off site organization of equipment, garbage and debris for fast unloading at shop. Suggest cleaning of trucks and sanitizing off site when waiting for other crews to finish.
●Complete all paperwork in the truck – timesheets, worksheets, etc.
●Use Group Chats, FaceTime, Conference Calls, etc. to have company meetings and/or
use individual start times to have multiple meetings with staff.
●Limit all employees distance to 2 m (6 feet) - when dealing with the public. - No
handshake policy with “Clients”.
●Suggest that crews do not overlap into other trucks.
●Suggest a 2-person crew to promote social distancing. One-person crew could be
adopted if workers are willing to drive to all sites..
●When stopping at public washrooms, wash/sanitize your hands and use the truck wash
station (Suggested before and after entering public washroom).
●Have a foreperson wipe down all trucks and equipment with sanitary
products before and after a shift.
●Each crew’s foreman is also responsible for sanitizing all hand tools.
●Suggest that employees bring their own lunches/coffee from home. Reduce any need to
stop at public locations, and less garbage in trucks. Do not share food/drinks for any
reason.
●Rotating breaks. No more than 2 people at a time in the break room. Suggested that
larger groups break or eat lunch in the shop not the lunch room.
●Enforce personal hygiene rules for blowing noses (One use tissues, hand
sanitizer, no spitting or smoking in common areas).
●All garbage removed using gloves, removed from vehicles and equipment daily. Dispose
of all personal items yourself.
Equipment
●One person at a time working on a piece of equipment when possible.
●Use your own tools and equipment and wipe clean when done.
●Sanitize all communal equipment before and after using.
●Always use your own PPE, gloves and glasses.
●Mandatory hand washing on trucks or trailers.
●If renting equipment, wipe down all cab areas or handles with sanitary products.
Off Site Service of Vehicles – Repairs/Collision Repairs/Inspections
●Any vehicle serviced off site should have a strict cleaning protocol when picked up. Check
dealers or mechanics “best practices” and be willing to change your provider if their
policies do not match your “best practices” requirements.
●Use the same person to do all pickups and drop offs of vehicles and equipment for
repair and ensure they are following the proper sanitizing procedures.
●Be aware that larger truck centers are considered “essential services” and there could
be more risk associated with these service locations. (Truck drivers crossing US
borders”)
Company Buildings
●Locked door policy for the office. This includes family members and non essential staff.
●All consultations and interviews to take place outdoors. Social Distancing in Common Areas.
●Do not allow delivery drivers inside the building.
●Clean staff washrooms regularly and think of spraying down high touch areas by each member when leaving the washroom.
●Locked door policy for the shop. This includes family members and non essential staff.
If it’s your day off there’s no reason to be in or around the shop.
●Wipe down all shared repair tools (Sanitary wipes/plastic gloves provided on work bench)
